Who this is for
Practice managers, roster leads, and operations supervisors who already run an appointment book or booking calendar and want a plain-language account of how that diary performs — not a proposal to replace the booking system.
Typical clients include dental and allied-health clinics, home-visit teams, small venue booking desks, and field service crews with recurring slots.
What you receive
- A written briefing covering fill rates by day-part, idle blocks that repeat, no-show and late-cancel clusters, buffer misuse, and overtime that tracks booking choices.

- A one-hour clarification call after delivery (included).

What is included
- Scope call to lock sites, roles, and date range (usually four to eight consecutive weeks).
- Review of diary exports, roster sheets, or read-only calendar views you provide.
- Annotation of patterns with concrete examples from your evidence (dates and day-parts redacted in shared copies if you prefer).
- Delivery of the numbered PDF briefing.
What is excluded
- Installation or configuration of booking software.
- Ongoing monitoring dashboards or live alerts.
- Staffing recommendations outside scheduling (e.g. clinical protocols, wage negotiations).
- Multi-site portfolios above three locations without a separate quote.
How the work runs
- Scope — We agree the book, the weeks, and any constraints (public holidays, known closures).
- Evidence pack — You send exports or grant temporary read-only access. We do not need passwords to staff accounts.
- Line reading — Two reviewers mark idle gaps, clustered cancellations, and overtime that follows from how slots were opened.
- Briefing — You receive the written report and a clarification call.
Duration and location
Most single-site reviews take two to three weeks from a complete evidence pack. Debriefs can be held at our King William Street office or by video. Interstate diaries are accepted when exports are complete.
Preparation
Please have ready: the date range, a glossary of booking codes if you use them, and notes on any weeks that were abnormal (floods, festivals, staff leave). Incomplete packs delay the start date.
Pricing basis
Fees start at AUD 2,400 for one site and up to eight weeks of evidence. Extra sites, longer ranges, or heavily coded diaries are quoted after the scope call. A deposit of 40% confirms the booking; the balance is due on delivery of the briefing.
